Running Events - Timeline

The SU will only authorize/promote events that are fiscally-responsible.  We are not saying events need to be cheap, but thrifty and cost effective are good qualities, especially if the event is truly girl-planned.....because these are life lessons girls need to learn to manage their lives in the future.

To get an event approved and promoted by the SU, budgets need to be:

  • submitted three months in advance of the event
  • flyers need to go out two months prior to the event
  • registration needs to happen one month prior to the event

These dates are flexible based on the merchandise purchase dates....for example, if an event is relying heavily on items that can be picked up locally and found anywhere and there is no custom patch, the deadlines can be shortened; the registration can happen the SU meeting before the event (which may be a week before the event). Flyer goes out a month before the event, and the budget is submitted two months before the event.

Advancements will be based on the approved budget numbers. At the end of the event, original receipts need to be turned in for reimbursement.  If the expenses were less than the advancement, the excess funds need to be returned to the SU.
